Student Travel Policy and Submission Form

ALL TRAVEL MUST BE PRE-APPROVED BY STUDENT AFFAIRS. Students must be in good academic standing in order to participate in university-funded travel. Students should turn in a Student Travel Request application along with supporting documentation at least 30 days prior to the conference date. An excused absence form must also be submitted at this time. Travel requests submitted less than 30 days before the start of the conference will not be considered.

Conference absences must also be approved through student affairs in order for students to participate in travel. Please review the Student Attendance Procedure found on the Office of Student Affairs website for more information about conference travel and excused absences.

2022-2023 Update on Travel Funding: Due to limited funds, BSOM Office of Student Affairs can only support some student travel requests. Students may apply for one Student Affairs-funded trip during the 4 years of medical school. Students are encouraged to seek alternative sources of funding.

Each student will be given the opportunity to apply to Student Affairs for one travel trip. Student trips are funded up to $1,500, including registration, hotel and lodging, airfare, printing and graphics, transportation, etc.

ECU Brody School of Medicine will approval student travel based on fund availability and overall quality of the application. ECU BSOM reserves the right to deny student travel if funding is not available.

Updated Travel Application: Travel applications will now be submitted via the link below. Your application will need to include:

  • A completed application sheet: https://redcap.ecu.edu/surveys/?s=TA78L7WWLC98FHDL
  • A copy of the accepted abstract (of which the student should be the first author)
  • A copy of the invitation with the student’s name to present or confirmation letter from the meeting; or a copy of letter confirming manuscript acceptance
  • A letter of support from the student’s research preceptor describing the student’s role in the project and what additional funding support is available for the student to travel

Please attach all documents to the REDCap form and submit as one completed document. Incomplete applications will not be accepted.
