Pre-Orientation Requirements

We are excited to have you join us at Brody! There are a few things to do to get started.

New students are required to complete and submit several requirements in June, to be prepared for M1 Orientation in July. The Office of Student Affairs collects the requirements, some via an external tracking service set up by the student (CastleBranch); others are gathered through online submissions. Some of the links below are disabled and will gradually be refreshed as processes are updated for the Brody Medical Class of 2028!

East Carolina University has requirements to complete (in addition to Brody’s) for successful enrollment at the start of the semester. Please read the information below carefully to ensure completion of all necessary requirements in the most efficient way.

PAUSE HERE: The CastleBranch Compliance Tracker assists Brody School of Medicine in tracking required immunizations and health records needed to proceed into and through medical school and clinical environments. In the CastleBranch portal, select “place order,” enter the package code EU29im, and create your account at the cost of $43. Do not purchase a background check, as that was accomplished during the admissions process. CastleBranch will conveniently store your records where you can retrieve and add to them as needed throughout your years at Brody.

Important Due Dates 

  • Immunization records (excepting flu vaccines and TB testing) are due June 30. “In-progress” series are considered compliant. Flu vaccine clinics hosted by Brody will take place in early fall; following that, upload the flu vaccine documentation to your CastleBranch portal by the November 1 deadline indicated in the portal.
  • Mandatory BSOM policy attestations (found here) – please complete by June 30.
  • HIPAA & Compliance Modules are conveniently provided online via Canvas available in mid July. They are self-paced modules due July 30.
  • Flu vaccine, TB testing, CPR training, and Mask Fit testing will all take place at Brody with your class. Your CastleBranch portal reflects later documentation due dates for these annual requirements.
  • White Coat order form (see below) – due by June 20.

Required Immunizations

  • MMR (Measles, Mumps, Rubella) — 2 doses of MMR vaccine OR 2 doses of Measles, 2 doses of Mumps, and 1 dose of Rubella; OR serologic proof of immunity for Measles, Mumps and Rubella.
  • Tetanus-diphtheria-pertussis — 1 dose of adult Tdap. If last Tdap is more than 10 years old, provide date of last Td and Tdap Vaccine (Adacel, Boostrix, etc)
  • Varicella (Chicken Pox) — 2 doses of vaccine or positive serology
  • Influenza Vaccine — 1 dose annually each fall – to be completed at Brody sponsored clinic.
  • Hepatitis B Vaccination — 3 doses of Engerix-B, Recombivax, or Twinrix or 2 doses of Heplisav-B ANDQUANTITATIVE Hepatitis B Surface Antibody (titer), preferably drawn 4-8 weeks after the last dose. If titer results are negative (<10 IU/ml), complete a second Hepatitis B series followed by a repeat titer. If Hepatitis B Surface Antibody titer is negative after a secondary series, additional testing, including Hepatitis B Surface Antigen, should be performed.
  • Tuberculosis Screening — to be completed at Brody sponsored clinic. Results of last 2 TSTs (PPDs) or 1 IGRA blood test are required regardless of prior BCG status. If you have a history of a positive TST (PPD)>10mm or IGRA please supply information regarding any evaluation and/or treatment.

Other Pre-Orientation Items

  • Cassette Respirator for Anatomy Lab — The Anatomy Lab is a critical setting for first-year medical students. With that in mind, there are chemicals used in this location that are known respiratory irritants and can post risks to an embryo/fetus. If you are pregnant, breastfeeding, or have a medical condition where exposure to these conditions may put your health at risk, we recommend that you consult with your physician. You should contact Carmilla Oden (odenc23@ecu.edu) in the Office of Student Affairs to discuss ordering a cassette respirator through the Office of Prospective Health prior to orientation.
  • eduroam (ECU wifi) Access — You will need to register your device on ECU’s wifi network.ECU’s primary wireless network, Eduroam (education roaming), is a secure world-wide roaming access service developed for the international research and education community. Many institutions are now members, including several UNC institutions.Onboard (register) a device once, and you have wireless access for four years on ECU’s campus as well as wherever eduroam is available. Immunizations Submissions: ECU Student Health First, then Brody

Once enrolled, new students will receive many emails regarding requirements for East Carolina University, including those from ECU Student Health Services requesting submission of your immunization records. We encourage students to submit their immunizations information to Student Health first. Then the inclusive immunizations report generated in myPIRATEchart (see below) may be submitted to CastleBranch. However, since the required immunizations for medical students exceed those for the general student population, additional submissions to CastleBranch will be necessary, including your Hep B titer lab report showing immunity.

Note about Hep B Immunizations: If titer test results are negative (not showing immunity), the AAMC requires that the complete series of immunizations and the titer be repeated to show immunity; a single booster and titer are not sufficient. If you begin a new series, but are not able to complete it by the June 30 deadline, you will be considered compliant.

Medical History

At the ECU Student Health website, select “myPIRATEchart.”  Create an account, then complete the Student History information. If you have health insurance through a provider other than ECU Student Blue, please upload your insurance card information to myPIRATEchart.

ECU Student Health Insurance Plan

ECU student health insurance is provided by Student Blue through NC Blue Cross and Blue Shield.

The student plan does not offer coverage for spouses and dependents. The information below is provided to students securing insurance for spouses and dependents.The UNC System and Brody School of Medicine do not endorse specific health insurance alternatives to the ECU Student Health Insurance Plan.

Health and Dental Insurance Alternatives

Items to consider when researching plans include the policy benefits, exclusions, waiting periods, and whether your preferred physician participates in the plan.

Step Up to Brody

Step Up to Brody is hosted by the Office of Student Success and Wellness (OSSaW) & has two required components for the Class of 2028:

A virtual, self-paced module that focuses on academic, personal, and professional/leadership skills to prepare students for a great start at Brody! The module is located within the VidaNova platform. An email invitation inviting students to accept the BSOM “Step Up to Brody: Class of 2028” module will be sent to students by OSSaW periodically upon admittance (May – July). Students will need to accept the module in order to access the contents.

Register for Parking (Optional)

Visit ECU PiratePort and select “Parking and Transportation Services” near the top of the page. Students typically purchase the B4 Permit. For questions, call the Parking office at 252-328-6294.
